Service terms

Clear terms for every website project.

Last updated: 4 September 2026

These are the general working terms for Host Promotions. The written proposal or project agreement supplied to a customer may add specific requirements and will take priority where it expressly differs.

Project scope

The agreed package, pages, features, content responsibilities, booking route, revision rounds, price and target schedule will be confirmed in writing before work begins. Work outside that scope may require a separate quote and will not be added without agreement.

Payments

Unless agreed otherwise in writing, 50% of the project price is due before development begins and the remaining 50% is due after approval of the finished private draft and before public launch. The initial enquiry form does not take payment. Payment requests will be sent separately through the stated payment provider.

Hosting and ongoing care are separate from the final project balance. The first year is included where stated in the package. Continued service is currently £240 per year and will only renew under the payment arrangement presented and accepted by the customer.

Customer-supplied information and materials

The customer is responsible for providing accurate property, facilities, pricing, availability, accessibility, safety, legal and location information. The customer confirms that supplied photographs, logos, text and other material may lawfully be used for the project. Host Promotions may edit or restructure supplied material for web presentation but does not independently certify property claims.

Revisions and approval

Property Starter includes two consolidated revision rounds and Property Signature includes three unless the proposal states otherwise. A revision round means one organised set of feedback. New features, repeated piecemeal changes or a significant change of direction may fall outside the original scope.

Before approval, the customer must check names, addresses, facilities, links, contact details, legal statements and all other property information. Approval confirms that the customer accepts the presented website for launch, subject to any written final corrections.

Domains, hosting and third-party services

The intended domain registrant and ownership position will be recorded before registration or connection. The domain is treated as the customer’s business asset. Hosting, security, forms, email notifications, analytics, booking tools and payments may depend on third-party providers whose availability and terms are outside Host Promotions’ direct control.

Third-party subscription, transaction, domain-transfer or specialist integration charges are not included unless expressly stated. No particular booking platform, payment processor or search engine result is guaranteed to remain unchanged or continuously available.

Search visibility

The website may include technical SEO foundations such as crawlable pages, metadata, headings, structured data, internal links, image optimisation and a sitemap. Search engines control crawling, indexing and rankings. Host Promotions does not guarantee indexing by a particular date, a specific ranking position, visitor numbers or bookings.

Delays and cancellation

Target dates depend on timely receipt of complete content, access and feedback. Delays caused by missing material, customer response times or third-party services may move the schedule. Cancellation and refund terms for a particular project will be stated in its written agreement, taking account of work already completed and costs already committed.

Liability and handover

Reasonable care will be taken in designing, testing and operating the agreed website. The service is not responsible for inaccurate customer-supplied claims, platform decisions, indirect loss, lost bookings, search-ranking changes or failures caused by services outside reasonable control. Any handover or migration assistance, source delivery and ongoing responsibilities will follow the written project agreement.
